Our privacy
policy.
We want you to understand how your information is handled when you enquire about accommodation with StayLex.
Last updated: 19 October 2026
1. Who we are
StayLex is a trading name of Lexicon Spectrum Ltd (company number 16652908), registered in England and Wales. Our registered office is 20 Sussex Gardens, Scampton, Lincoln, Lincolnshire, LN1 2UL, United Kingdom.
To ask about this policy or exercise your data protection rights, email thompson-properties@hotmail.com or telephone 07749 485526.
2. Information you give us
When you enquire, we may receive your name, email address, telephone number, organisation (if relevant), proposed stay dates, number of guests, and the information you choose to include in your message. Please avoid including sensitive personal information unless we specifically request it for a necessary reason.
When you send an enquiry through the website form, the details you enter are transmitted to Formspree, our online enquiry-form provider. Formspree processes the submission and makes it available to StayLex through its service and notifications. A successful submission confirms receipt by the form service; it does not confirm a reservation, price or availability. You can also contact us directly by email or telephone.
3. Why we use it and our legal basis
- Answering enquiries and providing quotes: to respond to your request, including steps you ask us to take before arranging a stay (pre-contract steps where applicable, or our legitimate interests in handling business enquiries).
- Managing confirmed accommodation: to administer bookings, communicate necessary information and provide the accommodation (contractual necessity or legitimate interests, depending on who is contracting with us).
- Records, safety and compliance: to comply with legal obligations and, where relevant, our legitimate interests in protecting guests, the property and our business.
We do not use website enquiry details for unrelated marketing without an appropriate lawful basis.
4. Who may receive your information
Our website is delivered through Cloudflare, and online enquiries are transmitted through Formspree, a third-party service that processes your form submission and provides email notifications and a dashboard for us. Our email provider also processes any correspondence. Depending on the enquiry and subsequent booking, we may share relevant details with booking platforms, channel management providers, property service providers or public authorities where necessary and lawful.
Our service providers may process personal data outside the UK; where restricted international transfers apply, we are responsible for ensuring an appropriate legal basis and safeguards. You can ask us for more information about the services handling your enquiry.
5. Website technology
Our site is hosted using Cloudflare, which may process technical request information such as IP address and device/browser details for delivery and security. Formspree may also process technical information associated with form delivery and spam prevention. We have not intentionally installed advertising cookies or third-party analytics on the website. If this changes, we will update this notice and implement any required consent controls.
6. How long we keep information
We keep enquiries for as long as reasonably necessary to respond and follow up, then review them for deletion when no longer required. Formspree currently states that its free plan provides a 30-day submission archive; this does not automatically delete copies sent to our business email or other records we hold. If an enquiry results in a booking, certain booking, accounting and legal records may need to be kept longer. Our actual retention practices must match this notice and applicable legal obligations.
7. Your rights
Subject to legal conditions and exceptions, you may have rights to access, correct, delete or restrict use of your personal data, to object to certain processing, and to receive portable data in applicable circumstances. Contact us using the details above to make a request. You can also complain to the Information Commissioner's Office (ICO).
8. Changes to this notice
We may update this notice if our booking systems, enquiry provider or data handling arrangements change. The latest version will appear on this page with an updated date.
